Rittenhouse Square Fine Art Show 82nd JUNE ANNUAL

IMPORTANT INFORMATION

WELCOME to the Annual June Rittenhouse Square Fine Art Show now in its 82nd year. Participating with you are some of the best artists in the country and several talented art students from area universities and schools. All of us on the Board congratulate you and hope you have a fantastic show.

The following is information you will need to know to help us keep the show running smoothly and make your show experience an enjoyable one. Please read it carefully.

SHOW DATES: Friday, June 7 through Sunday, June 9, 2013.

SHOW HOURS: Friday hours are 11:00 AM to 7:00 PM. Saturday hours are 11:00 AM to 7:00 PM and Sunday hours will be 11:00 AM to 5:00 PM. Early breakdown of booths will be unacceptable and could lead to expulsion from the show. For the purpose of this show, bringing your vehicle to the curb early is considered breaking down early. If you have extenuating circumstances, please make the Director, Steve Oliver, aware of your situation before you consider breaking down your booth early.

EARLY SET UP: We will have early set up on Thursday night, June 6, after 6:30 PM. It must be stressed that you should not arrive earlier than 6:30. Arriving before 6:30 is in violation with our permit and agreement with the City of Philadelphia and Fairmount Park, and is considered a parking violation.

REGULAR HOURS OF SET UP: Friday, Saturday and Sunday hours of set up are between 8:30 AM and 11:00 AM each day. Although some artists do set up earlier, parking tickets may result from you setting up before 8:30. Should you get a ticket, there will be nothing the RSFAA or anyone else can do about it, as our agreement with the city states specific set up times.

FIRST DAY: Friday morning - Check in and pick up your information packet at the RSFAA table in the center of the Square, between the hours of 9:00 AM and 11:00 AM. SHOW SPACE: Each artist is assigned a 10’ by 10’ space. There also will be a shared 5’ space between every 2 booths to be used by you and your neighbor. We will ask that you please keep this area clean and neat looking. All tents, canopies, display panels, etc., must be free standing. Nothing can be tied off to the fences, trees, posts, etc., around the Square. No stakes can be put in the ground. All booths will be on a concrete surface, so displays should be secured in place by weights. Expect strong winds.

LOADING AND UNLOADING: Loading and unloading are done by parking near your booth, next to the curb of the perimeter sidewalk, which goes around the Square. No vehicles are permitted inside the Square at any time. Artists who are assigned spaces at the corners of the park are required to pull up on the sidewalk for safety reasons. All others are forbidden to do so. You are asked to unload and remove your vehicle prior to setting up your display. Being allowed to park on the street to unload and load is a courtesy given by the Philadelphia Parking Authority and is only available from 8:30 to 10:45 AM. In the evening, breakdown your display and then bring your vehicle to the curb for loading. No one should have a vehicle at the curb before closing time each day. However, you should be packed up and ready to leave as soon as possible. The City would like us to be packed up and gone by 8:15.

Remember, no early breakdown is permitted or tolerated.

PARKING PLACARD: A few weeks before the show, you will be emailed a parking placard, which should be used while loading and unloading. Please write your name on this placard and be sure to display it on your dashboard, signifying to local police you are with the show. Also, please use the provided orange traffic cones while loading and unloading. They are for your safety.

SECURITY: We have contracted with the Philadelphia Fraternal Order of Police to provide off-duty police officers during the show. Each night, there will be 5 officers patrolling the park, in addition to the regular on duty officers assigned to the area. In addition, we will have 4 more officers patrolling the park, during the day. Display panels and canopies may remain up overnight. It is suggested and advisable to remove your artwork from your booths each night to eliminate the risk of damage or theft. In all cases, exhibitors will be responsible for their own space and property. Leaving anything in your space is done at the artists’ discretion. RSFAA claims no responsibility. If an incident does occur, security should be considered a deterrent and provides no guarantee that damage, theft or vandalism will be prevented.

SALES TAX: Each artist will conduct all sales at his/her booth and is responsible to be registered with the Commonwealth of Pennsylvania to collect and pay 8% sales tax (6% state and 2% city). No commission will be taken by the RSFAA. If you are not currently registered, please contact the PA Dept. of Revenue at https://www.etides.state.pa.us/ or phone them at 717-787-1064. BUSINESS PRIVILEGE LICENSE: Also, please be aware that anyone who engages in any business within the City of Philadelphia must, prior to the show, procure a business privilege license (BPL) from the Department of Licenses and Inspections, for an annual fee of $50.00. As of June, 2011, however, there is an exemption in the Philadelphia Code from this requirement if you are engaging in showing your work as part of a "hobby or other not-for-profit activity." Depending on your specific circumstances, you may be eligible to claim this exemption. To determine whether this exemption applies to you and your work, please use the following links:

Finally, and perhaps most importantly, whether or not you are required to obtain a Business Please note that the Board cannot provide legal advice as to whether you are eligible to claim the "hobby or other not-for-profit activity" exemption from the business privilege license requirement.

ARTWORK: This is a fine art show. No reproductions of any kind will be considered acceptable to display or sell. No posters, note cards, tee shirts, books, calendars, or photography, computer art, etc., may be shown, sold or promoted. Only original art created by the artist may be displayed and all work must be for sale. All work must be the same quality as or better quality than the work accepted by the jury. No work may be priced below $35.00.

WEATHER: The show will open rain or shine, and all artists are expected to have their booths open during all show hours. Therefore, you should be prepared to protect yourself and your work in the event of rain or wind. We take this seriously and non-compliance can result in exclusion from our shows for a minimum of 2 years. If the weather turns severe, the Board reserves the right to close the show for safety reasons.

GENERAL RULES AND REGULATIONS: Below are rules and regulations to follow during the show. Please read each of them carefully. Although they may seem insignificant, they must be taken seriously. There can be no items or boxes stored inside the park over the perimeter fence throughout the show. No sticks, spikes or tent stakes can be driven into the ground. There is no tying off to the fence. All artists are responsible for picking up trash around their display area. There is no electricity provided. All booths must face the street, except booths in the corners of the park. Displays must be professional in appearance. Artists are required to exhibit all 3 days and must be present and available from the opening to the closing. Keep all extra boxes, supplies, work, etc., out of sight. Booths must be set up and ready for business by 11:00 AM. Do not arrive late. Exhibitors may not display ribbons, awards or prizes received at previous shows. Artists who misrepresent their work will be dismissed from the show and forfeit all fees. Artists will be responsible for obtaining their own insurance if desired.

RESTROOM FACILITIES: There are a few businesses around the Square with facilities and many artists choose to take advantage of these. For your convenience, we suggest artists use the Art Alliance (off the southeast corner of the Square). We have an arrangement, with specific times to be made available at a later date. DO NOT use the Ethical Society facilities (southwest corner of the Square).

ACCOMMODATIONS  

HOTELS:
Hotels in the area around the Square are going to be fairly expensive by comparison to motels outside the city. Some artists have been very successful acquiring good rates online through sites such as Priceline.com, Orbitz.com, Expedia.com and Hotels.com. You may also look for rooms in Essington, south of the city, off Route 95, just past the airport (15 minute drive). 


REFUND POLICY: Payment of your booth fee is a commitment to participate in one, or both, of the 2012 RSFAA shows. In the event of an emergency, artists may submit a written request for a refund of their booth fee to the Board. The Board of Directors may then authorize a refund; however, there will be a $100 administrative charge for all cancellations. No refunds will be authorized if the request is made later than 60 days prior to the show. You can email us or send a letter to the RSFAA addresses.

Please Remember! This is a big city. If you have a large van, trailer or RV, you may have some difficulty finding a lot. They are out there, but after you find one, you may have to walk several blocks back to the Square.
