RSFAS IS ACCEPTING APPLICATIONS FOR MANAGING DIRECTOR

The Rittenhouse Square Fine Art Show is interviewing for the position of Managing Director.

 

The Rittenhouse Square Fine Art Show (RSFAS), now in its 95th year, consistently ranks among the top outdoor fine art shows in the country. With approximately 145 juried artists, our categories include original painting, printmaking, drawing, mixed media, and sculpture. We are also proud to offer student artists an opportunity to exhibit in our fine art show.


The Managing Director (MD) will be an independent contractor who reports to the Board of Directors and is responsible for managing all aspects of our June and September shows. This position has flexible part-time hours, with May through October being the busiest. The MD will work closely with the volunteer Board of Directors of the Rittenhouse Square Fine Arts Association (RSFAA) comprised of professional artists who exhibit in the shows, the Board officers, individual committee chairs, and staff. Familiarity with the RSFAS and our history, an appreciation and understanding of original fine art, and a desire to maintain and enhance the quality of our organization are key.

 

Responsibilities include, but are not limited to:

 

1.     Develop and facilitate working relationships and communicate with all persons and organizations necessary to produce the RSFAA art shows.  This includes, but is not limited to: Philadelphia Parks and Recreation, Friends of Rittenhouse Square, PA Guild of Craftsmen, Farm to City, Philadelphia Department of Revenue, Philadelphia Ethical Society, artists, students, and staff.

 

2.    Work with the Treasurer & Financial Director to create a Budget for each year.  Find ways to control expenses and stay within the budget figures during the current year.  This responsibility also includes working with vendors, suppliers, insurance agents, and the Financial Director to liaise, negotiate and manage payments, ensuring all invoices are paid in a timely manner.

 

3.    Manage communication via Zapplication. This includes, but is not limited to, renewing annual contracts, writing and sending all communications through Zapplication, handling artists’ applications for both shows and processing all submissions.  This also includes setting up and organizing the jury for each show and managing all artists’ statuses (invited, not invited, waitlist, etc.). Additional communication outside of Zapplication on behalf of the Board of Directors, both proactive and responsive, is required.

 

4.    Under the direction of the RSFAA Board, plan and manage all aspects of each show that need to be attended to prior to the show. This includes, but is not limited to:

·    Serve as show representative for contact with the RSFAA and RSFAS

·    Prepare board meeting agendas to facilitate monthly board meetings run by Chair.

·    Attend sub-committee meetings and training seminars

·    Manage show listings in various industry sources

·    Secure paid advertising

·    Obtain Special Event permits

·    Assign space assignments to artists

·    Provide clear direction to, and supervision of, all paid staff and volunteers.

·    Assemble artists’ packets:  Show info, badges, booth signs, etc.

·    Schedule security team

·    Secure restrooms and storage

·    Confirm all parts and supplies for Information and Community Art Tents

·    Order/replenish any missing supplies

 

5.    Direct all aspects of the show during set up, breakdown, and for each of the 4 days of the show weekend.

·    Provide clear direction to all assistants and staff

·    Work with park staff

·    Be sure all necessary supplies are delivered for the show weekend

·    Direct Set Up & Breakdown

·    Organize and manage distribution of artists’ packets:  Show info, badges, booth signs, etc.

·    Organize and manage security

·    Oversee Hospitality, Students

·    Handle any problems and issues that come up during the show

Ideal candidates will have:
• Good organizational, communication and writing skills
• Strong personal motivation, willingness to learn and work independently
• Experience in event management, marketing, business administration
• Experience in community relations including fundraising efforts
• Volunteer management experience
• Full time availability first weekend in June and third weekend of September to be present during show hours (Thursday through Sunday)
• Knowledge of our organization, the Philadelphia area, and the quality of our show
• Working knowledge of WORD, Excel, Google Docs, MailChimp, Zoom, Zapplication
